Vivid Floral Design is a busy retail, wedding and event florist on Chester Road in Wrexham, run by owner Amanda Macready with a team of 10. Established in 1992, the shop covers corporate work, events, weddings, funerals, bouquets and online orders. Before Digital Florists it ran on spreadsheets, order pads and paper wedding files. Now monthly invoicing takes 40 minutes instead of 2-3 hours, route planning outside peak takes 5 minutes a day, and reviews have gone from one a month to several a week.

Q: Can you tell us about your business and what you were using before Digital Florists?

Vivid Floral Design is varied and busy. We cover corporate, events, weddings, funerals, bouquets, online orders and Direct2Florist relay orders. Before Digital Florists we were using spreadsheets, order pads and invoicing through the accounts software.

Q: What were the main challenges with that?

Data stored in lots of places, and storing all the papers and files. Copying and updating data into spreadsheets, then inputting it again from order forms onto invoices. Staff not having access to wedding files if I had taken the master paper copy home to work on, with no backup copy. And on wedding orders, printing many images for the files, then styles changing and needing to print them again.

Q: Why did that matter?

All of it was taking extra time. We needed to call customers back if information was not to hand, and staff did not have the relevant details when they needed them.

Q: What were you hoping new software would do for you?

Better organisation on a day to day basis, and upmarket proposals for events.

Q: What made you choose Digital Florists?

After trying an alternative company I did further research, and Digital Florists looked like it could achieve my goals. After a call with Gemma I realised I could get much more from the software than I thought. I also liked the level of support that was offered, and that was very important for me.

Q: Is there a clever way you use Digital Florists that other florists might not think of?

We have the orders dashboard up on a TV in the workroom, so staff can see at a glance how the day is progressing and what to prioritise.

Q: How was the setup and switch-over?

The set up and switch over was made easy with the excellent support given. As a team of 10, everyone adapted at their own pace, with minimal training needed to get started with the basics, such as entering orders and planning delivery routes. The software offers so many features, particularly for events and recipes, that we are still discovering new ways to use it. Even team members who were initially unsure now use the system confidently and appreciate the benefits it brings to their daily work.

Q: What results have you seen since switching?

Once clients are in the system, order taking is much faster. It saves at least 2 hours a week, especially with event clients who have recipes saved. Invoicing each month has gone from 2-3 hours to 30-40 minutes, and delivery route planning outside peak from 20 minutes a day to 5. No missed orders, and delivery routes and tracking are much easier.

Q: What has changed for your customers?

They get updates when an order is ready for collection or the delivery is on the way. Customers who have shopped with us before do not have to give all their details again, which makes it smoother. And having images of previous orders means if they ask for similar to last year, we can see what they had. Reviews, especially for events, have gone from 0-1 a month to 3-5 a week.

Using Digital Florists has helped us streamline our day-to-day processes, saving time and improving efficiency across the business. We can now produce more professional event quotes, invoice customers faster and deliver a better overall customer experience, giving us more time to focus on creating beautiful floral designs.
