Day-to-day orders and POS sat on one system, weddings and events on another, so the work happened in two places.

Reporting that didn't reconcile

The full interview

Q: Can you tell us about your business and what was making things hard before Digital Florists?

We're a retail and event florist in Boyle, Co. Roscommon, doing everything from bouquets to funerals, weddings, corporate work and online orders, plus some lovely plants. Before, we ran one system for orders and POS and a different one for weddings and events. Curate was a great system but too expensive for us, and across what we had the product and accounting reporting didn't work accurately.

Q: How was that affecting the day-to-day?

It made more work. We couldn't rely on the data from a buying point of view at peak, so something as simple as knowing which products were the most popular wasn't accurate. And the anomalies in the reporting meant extra checking every time we did our VAT returns. On top of that, promised updates didn't always come, and support could be hard to reach when we needed it.

Q: What were you hoping new software would do for you?

Two things, really. We wanted accuracy, to trust the figures and understand the business properly. And we wanted a CRM that worked, somewhere all our customer detail lived and we could pull it up easily.

Q: Why did you choose Digital Florists?

Because they'd had the same problems we had, the ones that pushed us to look for new software in the first place. From the start they were always there to help, support and advise. And they were honest and open about how the system works, which mattered to us.

Q: Which parts of the software have helped you most?

Having orders, POS and deliveries in one place is the big one, no jumping between systems. The weddings side runs through Digital Florists Events, so a proposal can quote and amend over the months and the make-tasks let us start prepping ahead of the day. Putting a recipe into each product has been brilliant for peaks, the workroom knows exactly what to make.

Q: Has anything surprised you, or are you using it in a way you didn't expect?

A few things. Bulk allocating specific designs to one member of the team in one go saves us sorting it order by order. Putting a recipe into each product means the detail is already there when we make up. And being able to work remotely with the system has been really handy.

Q: How did the setup and getting started go?

Very easy, thanks to the superb help given by both Gemma and Lewis. Nothing was too much trouble for them.

Q: What results have you seen since switching?

Overall the system saves us 6-10 hours a week. We've not missed an order at peak, and peaks themselves feel calmer because all the recipes are with the designs. And being able to find a customer's details easily makes a real difference.

Q: Have your customers noticed any changes in how you work?

Yes. Customers get an email confirmation, and our business customers get invoices, so everything's clearer for them.
