Why Florists Are Going Paperless

Eco-Friendly Brand & Cost Savings

Most florists go through reams of order pads, run sheets and printed invoices a week. Going paperless cuts that bill (paper, ink, toner, shredding) and gives you a sustainability story to tell customers who care about it.
It also aligns your brand story of natural beauty with a genuine commitment to the environment. Good for the planet, good for the bottom line.

Digital Florists replaces order pads and printed run sheets, with a single system your team can access from anywhere on any device.
The Digital Florists app puts the system in every team member's hands. Drivers get routes and delivery notes on their phone. Florists mark orders as made and upload photos from the workroom. Owners check sales and manage from anywhere.

Enhanced Customer Experience & Collaboration

Automated Reporting & Analytics

Automated Reporting & Analytics

Having everything digital means your data is searchable and accessible from anywhere.
Need last year's Mother's Day orders to plan this year's stock? It is a two-second search. Need to check what card message went on a sympathy order from three months ago? Instant. Every record is searchable, sortable, and accessible from any device.

Backed Up, Locked Down, Yours to Keep

Backed Up, Locked Down, Yours to Keep

Cloud backup protects orders and client records from spills, fire, and the everyday risk of papers being misplaced. Role-based access keeps sensitive data GDPR-compliant and locked down. The system grows with you.
Going paperless does not mean giving up choice. If you still want to print an invoice or a delivery run sheet, you can. Paperless means you do not have to, not that you cannot.

“Order delegation on peak days used to involve playing 'order bingo' at 8pm - going through orders line by line to check if any printed worksheets were missing. There were always orders missing, so the team ended up working late. This year, I filtered by product, it was done in 20 minutes, and the team used the app to manage their workload. No bingo.”

Questions About Going Paperless

Not at all. Most florists are fully paperless within a week of going live. We handle the setup - including importing your existing customer data, account balances, and order history. If you can use a smartphone, you can use Digital Florists. Our support team is with you every step of the way, and we offer free one-to-one training sessions to get your team confident before you start.

Digital Florists works in your browser and syncs continuously, so a brief connection drop will not lose any data. Many florists also use their phone as a mobile hotspot backup. The driver app keeps a copy of the route on the phone so deliveries continue even in areas with poor signal - photos and statuses sync automatically when the connection returns. Your data is always safe.

Of course. Going paperless does not mean you cannot print - it means you do not have to. You can print delivery run sheets, invoices, or order summaries whenever you choose. In fact, label printing is a core feature: you will still print professional card messages and delivery labels, which is an important part of the finished product. The difference is you stop printing the bulk paperwork - the order forms, the run sheets, the filing.

Yes. Your shop's data is backed up every day, so even if your laptop's stolen or the shop floods, nothing's lost. You own everything in the account: customers, orders, products, history. You can pull a copy down whenever you want. Only the staff you've given logins to can sign in. We also email a copy of every order to you as it lands, so if our system were ever offline you'd still have the day's work in your inbox and keep operating.

The app is optional. Shops that bring it in stop reaching for printed driver sheets and tend not to look back. Drivers get their routes, delivery notes, and navigation on the phone. Florists can mark orders as ready and upload photos from the workroom. Owners can check in on sales and orders from anywhere. Each team member can use as much or as little of the app as they like, with no extra cost per user.

Label printing is built into Digital Florists. You type the card message when taking the order, and it prints on a professional label along with your address label. However there is a setting to only print out addresses labels if you prefer to hand write your cards. This is one area where printing improves quality: a crisp, printed address looks more professional and legible than a handwritten one.

Everything Works Together

Orders sync to deliveries. Events generate production lists. POS updates inventory. No double-entry, no switching between apps.
